Free Team Meeting Time Zone Planner — Find the Perfect Overlap

Scheduling a meeting across time zones is one of the most frustrating parts of remote and international work. What is 9am in Toronto is 2pm in London, 5pm in Nairobi, and 10pm in Singapore. Without a visual tool, someone always ends up with a meeting at an unreasonable hour — and that someone is often the person who didn’t speak up in time.

MetricSuite’s free Team Meeting Time Zone Planner solves this instantly. Select up to six cities from 34 global locations, pick your meeting date, and the tool highlights every hour of the day with colour-coded availability — green for business hours, yellow for early mornings and evenings, grey for nights. The best meeting windows are ranked automatically so you can share them with your team in seconds.

🌍 Built for Pan-African, Caribbean & Global Remote Teams Whether you’re coordinating between Nairobi and Toronto, scheduling a call between Lagos and London, or planning a client presentation that works for Dubai and Singapore — this tool was designed specifically for professionals operating across multiple continents and time zones.

How to Use the Meeting Time Zone Planner

The planner is designed to give you an answer in under 30 seconds. Here’s how to get the most out of it:

1

Pick Your Meeting Date

Use the date picker to select today, tomorrow, or any future date. Click the Today or Tomorrow shortcut buttons for quick access. The live UTC clock at the top updates every second.

2

Select Up to 6 Cities

Choose the cities where your team members are located from the dropdown menus. The tool shows each city’s current local time and UTC offset instantly below the selector.

3

Read the Colour-Coded Timeline

The 24-hour grid shows every hour of the day for each city, colour-coded by availability. Green means standard business hours. Yellow means early morning or evening. Grey means night or sleeping hours.

4

Check the Recommended Windows

Below the timeline, the tool automatically scores every UTC hour and surfaces the top six meeting windows ranked from Best to Difficult — with each city’s local time shown for that slot.

5

Copy & Share

Click Copy Meeting Times to get a formatted summary you can paste directly into Slack, email, or WhatsApp. Your team sees every city’s local time for each recommended slot — no confusion.

💡

Pro Tip

If you find no green overlap exists, the tool will tell you honestly. In that case, look for yellow-yellow combinations — two people in early morning and evening is far better than someone in the middle of the night.

Frequently Asked Questions

How does the tool decide which meeting time is “Best”?
The planner scores every UTC hour based on how many of your selected cities fall within standard business hours (9am–6pm local time) at that moment. A slot where all cities are in business hours scores highest and is rated Best. If most cities are in business hours but one or two fall in early morning or evening, it is rated Good. Slots where any city falls in sleeping hours are rated Difficult.
Does the tool account for Daylight Saving Time (DST)?
Yes — automatically. The planner uses your browser’s built-in timezone engine (the Intl API) which accounts for DST transitions in all supported regions. So if you’re planning a meeting in March when North America and Europe both shift their clocks, the tool will show the correct local times for that specific date.
What cities and time zones are supported?
The tool includes 34 cities across all major global business hubs: Nairobi, Lagos, Accra, Johannesburg, Dar es Salaam, Kampala, Kigali, Addis Ababa, Cairo, Casablanca, Gaborone, Kingston, Toronto, New York, Chicago, Los Angeles, Vancouver, São Paulo, London, Paris, Berlin, Amsterdam, Lisbon, Dubai, Riyadh, Mumbai, Singapore, Hong Kong, Tokyo, Sydney, Auckland, Abuja, Istanbul, and Bangkok.
What if there is no good overlap between my cities?
When no perfect overlap exists — for example between Nairobi and Los Angeles — the tool will show the best available options even if they are rated Difficult. In these cases, look for yellow-yellow combinations where both parties are outside standard hours but still at reasonable times, such as early morning for one person and early evening for another. Rotating meeting times fairly between team members is also a good practice when no neutral overlap exists.
Can I use this for more than 6 cities?
The current version supports up to 6 cities simultaneously, which covers most distributed team configurations. For larger teams with more than 6 locations, we recommend grouping team members by region and running two separate searches — for example, all African offices in one search, and all European and North American offices in another — then finding a window that works across both results.
How do I share the results with my team?
Click the Copy Meeting Times button below the recommended windows. This copies a plain-text summary to your clipboard showing each recommended UTC time alongside every city’s local equivalent. You can paste this directly into Slack, Microsoft Teams, an email, or a WhatsApp group. No screenshots or reformatting needed.
Is this tool free to use?
Yes — completely free with no sign-up, no account, and no limits on how many times you use it. MetricSuite is supported by non-intrusive display advertising that keeps all tools free for everyone.
